Version 1.1 · Effective 26 October 2026

How we use cookies and optional analytics, and how to change your choice, is explained on our Cookie Policy.

Le Tournoi is a UK golf society with a history dating back to 2001. This policy explains how we handle information about golfers, website accounts, events and historical competition records.

1. Who is responsible for your information?

Le Tournoi, acting through its organising committee, is responsible for deciding how personal information is used (the data controller). For privacy enquiries, corrections or removal requests, contact admin@letournoi.co.uk.

2. Information we hold

Depending on your involvement with the society, we may hold your name; optional contact details such as email address and telephone number; website account and authentication information; active or inactive status; membership or Guest participation; event bookings and attendance; golf scores, rankings, awards and historical results; policy acknowledgement records; and relevant administrative communications. If you choose to accept analytics cookies, we also receive limited, pseudonymous information about how the website is used (see section 10).

3. Why we use information

We use this information to maintain golfer and membership records; administer website access; organise events and bookings; communicate about society activities; record and publish results and achievements; preserve Le Tournoi’s history; respond to enquiries and privacy requests; and protect the website from misuse. Only if you consent, we also use website analytics to understand how the website is used so that we can improve it.

4. Lawful bases

Depending on the activity, our lawful bases may include legitimate interests (running the society and preserving accurate historical results, balanced against individuals’ rights), performance of a contract (where necessary for agreed membership or event arrangements), legal obligations, or consent where specifically required. Acknowledging this Privacy Policy is not blanket consent to all processing. Optional analytics cookies and similar technologies are used only with your consent (see section 10).

5. What others can see

Public visitors may see golfer names, historical event participation, scores, rankings, winners and awards. The public inactive golfers directory displays first name and surname only. No golfer contact details are publicly displayed.

A telephone number is optional. Signed-in website users may see a golfer’s telephone number only if that golfer has chosen to make it visible, subject to the website’s access controls. Email addresses are not publicly displayed. Authorised administrators may access information needed to administer the society.

6. Active and inactive golfers

Le Tournoi maintains records of active and inactive golfers. Being inactive does not remove a golfer’s historical results. To help former participants reconnect during our 25th-anniversary initiative, we may publish a list of inactive golfers’ names. If you wish to be excluded from this directory, email admin@letournoi.co.uk. Removal from the directory does not automatically remove historical competition records.

7. Historical results and retention

Historical competition records dating back to 2001 form an important part of the society’s history. We aim to preserve these for the long term, potentially indefinitely where lawful and justified. Contact details, account information and administrative records are kept only while reasonably needed for their purposes or to meet applicable obligations. We consider correction, objection, restriction and deletion requests individually under applicable law.

8. Website accounts and security

Website access requests are reviewed by the society’s administrators. Having an account does not automatically make someone a Member or change their existing Active, Inactive or Guest classification. We use authentication and access controls to help protect personal information. Please keep your own login details secure.

9. Sharing and storage of personal information

Le Tournoi uses established external service providers to support website hosting, data storage, authentication and communications. Where available, we select European data centres to support compliance with applicable data-protection requirements.

We take reasonable steps to protect personal information and ensure appropriate data-protection arrangements are in place. Where personal information is transferred outside the UK or European Economic Area, we will comply with applicable legal requirements for international data transfers.

Le Tournoi does not sell golfers’ personal information or share it with third parties for their own advertising purposes. Information may be shared with golf clubs or event organisers where reasonably necessary to arrange participation in society events, or where disclosure is required by law.

10. Cookies and Website Analytics

Le Tournoi uses essential cookies and similar technologies to operate the website, maintain secure sessions and provide its services. These are necessary for the website to function.

We also use Cloudflare Web Analytics to understand general website traffic and performance.

With your permission, we use Google Analytics 4, a service provided by Google, to understand how visitors use our website and help us improve it. This may include information about pages visited, how visitors arrive at the website, browser and device information, approximate geographical location and interactions with website features. Google may also process technical information, including IP addresses, and use cookies or similar technologies for analytics purposes.

Google Analytics may process information outside the United Kingdom. Where applicable, international data transfers are subject to the safeguards described in section 9 of this policy.

Google Analytics is optional. It is activated only when you choose to accept analytics cookies. You may reject analytics without affecting your ability to use the website, and you can change or withdraw your choice at any time using the Cookie settings link.

Le Tournoi does not intentionally include golfer names, email addresses, account identifiers or information entered into forms in the analytics information it sends to Google.

For further information about the cookies used on this website and how to manage your preferences, please see our Cookie Policy.

11. Your rights

Depending on the circumstances, you may have rights to access, correct or erase personal information; object to or restrict certain processing; withdraw consent where consent is the lawful basis; and exercise other rights under UK data-protection law. We may need to confirm your identity before responding. Contact admin@letournoi.co.uk. You may also complain to the Information Commissioner’s Office at ico.org.uk.

12. Changes to this policy

We may update this policy as our website, society activities or legal obligations change. The current version and effective date will appear on the website. We may ask account holders to acknowledge material updates.
